Document Controller
Key responsibilities
Engineering Document Control and Performance Reporting
- Controlling register of native and uncontrolled documents including the maintenance of technical documentation, including P&IDs, plot plans, technical drawings, as-builds, area classification, electrical SLDs, cause and effects, standards, procedures, equipment manuals, safety studies, inspection reports etc
- Departmental budget tracking and purchase order issuing
- Support the tracking, control and issuing KPI reports
CMMS Administration
- Management and upkeep of the CMMS maintenance master data system
- Uploading and database maintenance of all company asset records, including tag numbers, descriptions, technical data, supplier data sheets, inspection records and maintenance schedule/regime
- Creation of engineering and maintenance works orders in accordance with defined maintenance activity schedules
- Tracking and maintaining maintenance records for audit compliance in accordance with internal quality and external regulatory requirements
- Recording and logging of spare (including critical spare) stock holdings
MOC Administration
- General overview and monitoring of MOC process
- Creation of MOC compliance packs in accordance with company MOC policy and procedure and maintain to ‘audit ready’ standard in coordination with compliance department through liaison and follow up with MOC owners
- Permit-to-Work Administration
- General overview and monitoring of Permit to Work process
- Support Engineering and Maintenance team in the management of the Permit to Work system
- In collaboration with HSE department, maintain to ‘audit ready’ standard as per company policy and procedures through liaison and follow up with engineering and maintenance department
Contractor Approval Administration
- General overview and monitoring of Contractor Approval system
- Support Engineering and Maintenance team in compiling contractor approval information and creation of contractor approval packs
- In collaboration with HSE department, maintain to ‘audit ready’ standard as per company policy and procedures through liaison and follow up with engineering and maintenance department

- Demonstrate enthusiasm and perseverance with the ability to think laterally and effectively in a fast moving and dynamic environment
- Exhibit calm and personable manner, particularly during high pressure scenarios or in conflict resolution
Experience
- Previous experience in engineering office environment
- Experience of CMMS or ERP systems (ideally Shire Systems)
- Excellent organisation skills and attention to detail
- Flexible working approach
- Previous experience in Permit to Work Processes
